Creating a Control Record for your magazine is done annually. Control Records allow patrons to be able to place issue specific holds in the online catalog.
- Open the Serials Toolbar located in the toolbar.
- Open the Create Control located in the Common Tasks.
- Perform a Search for the periodical title. All magazine titles that are specified for Serial Control by SEO are followed by the current year. Example: Birds and Blooms, 2026.
- Select your periodical title and click the Create Control at the bottom of screen.
- In the dialog box that opens, select Display Control.
- In the window that opens, highlight the SEO Control and select Duplicate Control.
- In the dialog box, change the codes to YOUR Library Code and Holding Code and click OK.
- In the window that opens, in the Basic tab check the following:
Basic call number = MAG
Class scheme = DEWEYPER
Status = ACTIVE - In the Patterns tab check the following:
Chronology Type = NUMERATION
Allow automatic prediction of issues = UNCHECKED - Select Create Control. Note: this is for a single issue.
If you receive multiple copies of the same magazine, proceed to Step 11 before selecting Create Control. - Multiple Copies of the same magazine.
If your library subscriptions to multiples copies, you will need to follow these additional steps prior to selecting Create Control. - Open the Serials Toolbar.
- Open the Modify Control located in the Common Tasks.
- Open the Subscription Tab.
Copies to receive is equal to the number of subscriptions you have for this title. If your library has more than one subscription for a title, you can modify the copies to receive.
If you process magazines for multiple branches, you can modify the Copies to receive and create multiple distributions in the Distribution Tab.
- Click on the Distribution Tab and select the Create Distribution Helper.
- Update the Holding code for the additional locations. Update the Copies expected to the number of copies that the library will receive. Select Create Distribution. Repeat the process until all copies have been assigned to the proper holding code.
